The response deadline is close, so someone asks AI to produce a persuasive first draft. It sounds capable and complete. It also claims experience that nobody has supplied evidence for.
Before AI-assisted tender drafting, map each requirement to an approved source, responsible owner and response status. Use that matrix to identify what can be written, what needs clarification and what the business cannot currently substantiate. Strong wording should follow evidence, not replace it.

Separate the requirement from the sales narrative
Read the actual request and its instructions. Record what the buyer asks for without rewriting a condition into something easier to answer.
This article concerns operational preparation, not legal advice, procurement eligibility or interpretation of contractual obligations. Where the requirement needs specialist judgement, assign that question to an appropriate person.
For an illustrative service proposal, a request for a delivery method differs from a request for evidence of prior delivery. A clear explanation of what you intend to do is not proof that you have already done it.
Build a response matrix
Use fields for:
Requirement identifier and exact source location.
What an acceptable response needs to establish.
Approved evidence or explanation available.
Owner responsible for confirming it.
Gap or clarification required.
Draft status and response location.
Keep mandatory instructions and formatting constraints visible. Do not let a polished narrative conceal a missing attachment or unanswered requirement.
An illustrative unsupported claim
The request asks for relevant examples. The assistant is given a general service description and generates a paragraph about successful client transformations.
The matrix should expose that no approved example was supplied. The correct next step is asking the responsible person for usable evidence or writing an honest response within the instructions. It is not inventing a credible client story.
Likewise, a proposed staffing arrangement should not become a confirmed availability commitment without the relevant owner's agreement.
Draft from the approved material
Ask AI to prepare one response section using only its mapped evidence and the agreed business position. Require open questions outside the buyer-facing draft.
Check references and qualifications. If the tool combines several sources, make sure the resulting claim is actually supported rather than stronger than any source individually.
Avoid sending restricted buyer documents or business evidence to an unapproved tool. The drafting method does not authorise a new information destination.
Review coverage before style
Walk through the matrix to confirm each requirement has a response or a visible unresolved decision. Then review consistency, readability and repetition across sections.
Keep the final submission decision with the authorised owner. A complete-looking draft is not a completed response until required evidence, attachments and commitments have been checked.
The matrix helps the team spend writing time where the material is ready, while making the remaining gaps harder to hide. It can be useful even when the decision is not to proceed with the response.
