AI Search, Drafting or Automation: Which Kind of Tool Does This Task Need?

AI

The request sounds simple: help the team answer questions about delivery. One colleague expects a search box. Another expects an email draft. The founder expects the customer record to update as well.

Choose the kind of AI tool by the result the task needs: finding an existing answer, preparing new material or carrying out an authorised action. Those are different requirements. Agree which one you need before comparing demonstrations or buying another subscription.

Start with the finish condition

Describe one case from the moment it arrives to the point somebody can use the result. Avoid starting with a product name. Ask what changes when the task is finished.

If a colleague needs the current onboarding rule, the finish is finding the approved instruction. If they need a reply tailored to a client's question, the finish is an accurate draft. If the record must change, completion also needs a verified system action.

These requirements can exist together, but combining them increases what must be specified. A useful first step may cover only one of them.

Use a three-part task worksheet

Record the following for the task you are considering:

  • Find: which existing information must be located, and which source governs it?

  • Prepare: what must be explained, compared or written for this particular case?

  • Act: what must change outside the conversation, and who can authorise that change?

Add the recipient and accepted finish for each part. A clear answer shown to a staff member is different from an answer sent to a client. Creating a proposed update is different from saving it.

Do not require generation where a direct link to the right instruction would solve the problem. Equally, finding a document does not automatically produce a suitable client response.

An illustrative enquiry example

A customer asks whether a service includes weekend support. The approved service document contains the answer, but the wording needs explanation.

A search function could locate the relevant clause. Drafting assistance could prepare a plain-language reply using that clause. Sending it and updating a sales record are further actions with separate requirements.

For an initial implementation, the team might stop at a sourced internal draft. That is a deliberate scope decision, not a failure to automate enough. It lets the owner establish whether retrieval and drafting are useful before adding external actions.

Compare tools against the actual boundary

Ask each supplier or internal owner to demonstrate the required finish on an authorised example. Can the person see the supporting source? Can a draft remain a draft? If an action is needed, what confirms that the correct record changed?

A feature list is insufficient because products use words such as assistant and agent differently. Describe the behaviour you need instead of relying on the label.

Keep the choice reversible while uncertainty is high. Record any part still handled manually and why. That prevents a future user from assuming the tool covers more than it does.
