An Invoice-Preparation Handover That Reduces Missing Information

Finance asks whether the work is ready to invoice. The account lead forwards a long email chain and says it should be fine. Someone still has to identify the accepted deliverable, current scope and billing reference.

An invoice-preparation handover gives the authorised finance owner the operational information needed to assess the next billing step. It should distinguish evidence supplied, unresolved questions and approval responsibilities. It is not a substitute for the business's accounting, tax or commercial requirements.

Ask the receiving owner what evidence they need

Start with a recent straightforward invoice and one that created a query. Identify which missing operational facts delayed preparation. Keep the list focused on the actual service and invoicing arrangement rather than copying a generic accounting checklist.

Separate completion of work from entitlement to invoice. The relevant commercial and finance owners must interpret the agreement. Operational staff provide reliable evidence without silently deciding terms they do not own.

A handover pack for routine service work

  • Client identity and authoritative billing reference.

  • Current approved scope or order reference.

  • Relevant period, milestone or deliverable.

  • Evidence of acceptance where required by the arrangement.

  • Authorised variations and their record.

  • Operational details needed to describe the work accurately.

  • Known disputes, missing inputs or other exceptions.

  • Preparer, reviewer and decision still required.

Link to the authoritative record for each important field. Avoid making finance choose between two copied versions of a client name or a changed scope.

An illustrative monthly service pack

An agency prepares a recurring report and an additional approved analysis. Its handover identifies the normal monthly service separately from the authorised addition. The source record includes the accepted reporting period and the relevant approval.

A further client request is still being discussed. It is not quietly included as approved work. The account owner records that uncertainty and assigns the commercial question, allowing finance to assess the supported parts through the existing process.

Give an incomplete pack an owned route

If an acceptance record is missing, identify who obtains it and when. Do not replace it with a checkbox that someone believes the work was accepted. If only part of the handover is ready, the authorised owner decides whether and how to proceed.

Use the same principle as a receiving-team acceptance checklist: sending material is not proof that the next team can act on it. Confirm what was accepted and what remains open.

Review the repeated clarification

After a few cycles, inspect which information finance repeatedly requests. Improve the source workflow rather than assigning another person to chase the same evidence every month. Keep commercial interpretation and operational preparation distinct.

If invoice preparation depends on reconstructing each engagement from messages, Hili Consulting can help design a clearer operational handover to your finance process.
