You hand over the weekly administration, but every exception still comes back to you. Delegating recurring admin means transferring the task, its working information and the authority to handle agreed cases. A checklist alone cannot explain what someone may decide when the normal route breaks.

Start with a bounded recurring task
Choose work with a recognisable trigger and finish, such as preparing the weekly client follow-up list. Keep payment decisions, unusual commitments and other consequential exceptions outside the first handover. Collect a normal example, an incomplete example and a case that needed your judgement.
Write the operating agreement
Use a short record with these fields:
Trigger and deadline.
Required inputs and where the current version lives.
Steps and completion checks.
Decisions the new owner can make.
Exceptions to escalate, with the recipient and needed evidence.
Backup owner and review date.
Work through the examples together. Ask the new owner to explain how they would handle each case, rather than asking whether the instructions make sense. Differences expose missing context before a client depends on the handover.
Review results without taking the task back
For an illustrative follow-up process, the coordinator can send an approved reminder and flag missing information. They cannot promise a revised delivery date. The delivery lead resolves that exception. Review the shared list weekly, including overdue cases and reasons for escalation.
If a question returns, identify whether the cause was missing information, unclear authority or a genuinely new situation. Update the agreement when the answer should become repeatable. Avoid silently reversing reasonable decisions and then wondering why people seek permission next time.
