The business cancels a tool and downloads a large archive. A week later, somebody needs an approval record and cannot connect its attachments to the original case. The exit preserved files without preserving a usable working history.
An operational software exit should transfer the records, access and responsibilities needed for continuing work before the old route is withdrawn. Start after the authorised decision to exit, and verify the actual provider's export and cancellation behaviour rather than assuming every service works alike.

Define what must remain usable
Identify active work, historical evidence and reference material people need. Include relationships between records, attachments and permissions. A list of file types does not show whether the recipient can reconstruct a client case.
Assign an owner for deciding what must be retained under the business's applicable requirements. This checklist does not set legal retention periods or authorise deletion.
A software exit acceptance pack
Approved exit scope and commercial decision owner.
Live workflows and integrations depending on the service.
Records, attachments and context to preserve.
Export method, available format and known limitations.
Destination, access and receiving owner.
Representative cases to test after transfer.
Cutover, rollback or temporary-access decision.
Cancellation confirmation and remaining support route.
Record unresolved dependencies before committing the final change. If a different team relies on an automated feed, its acceptance belongs in the exit decision too.
Test a real retrieval task
In an illustrative agency exit, the team must retrieve a client's approved brief, final version and related decision from the new location. The reviewer tests a normal case and one with several revisions.
If the files are present but their relationship is unclear, the exit is not ready for that purpose. The owner can add an index, improve the transfer or obtain suitable support before withdrawing the old route. A complete byte count alone would not expose the missing context.
Separate investigation from authority to cancel
The earlier tool-sprawl review may establish why consolidation is worth considering. It does not prove a specific migration is complete. Cancellation and data removal follow the actual authority, provider terms and specialist requirements.
Update your authoritative-record register so staff know which location controls new work after cutover. Retained historical material should not look like another active master record.
Check the first working cycle
After the approved switch, inspect representative tasks and failed integrations. Name who resolves questions and where the final exit evidence lives. If temporary access is retained, record its purpose and next decision instead of leaving the old subscription in indefinite uncertainty.
If software exits create missing records and unexpected workarounds, Hili Consulting can help organise the operational acceptance checks before retirement.
