How to Handle Changes to Client Contact Details Across Several Systems

The account lead updates a client's email address, but the next report still goes to the old contact. A contact-change workflow needs an authoritative record, an authorised update route and confirmation that affected uses have been reviewed. It should cover more than editing one screen.

Identify where the contact is used

Map the CRM, delivery records, distribution lists and other relevant systems. Distinguish a communication contact from a billing contact or approval authority. Do not assume that changing one role means every field should receive the same new value.

Define the change record

  • Request source and appropriate verification.

  • Field and role changing.

  • Authoritative record owner.

  • Downstream systems and responsible update owners.

  • Effective date and completion checks.

  • Exception route for conflicting information.

Use your business's applicable information-handling requirements. Avoid spreading the full request through unnecessary shared files or informal message chains.

An illustrative check

A client's day-to-day contact changes, while the person authorised to approve scope remains the same. The account owner updates communication routing and checks the next scheduled report. They do not silently transfer approval authority to the new contact because both appeared in one email thread.

Make completion visible

Include scheduled and stored uses in the check. An upcoming automated report, an old distribution group or a template may retain a previous contact even after live records change. Assign the relevant owners to inspect those uses. Preserve an appropriate change record while avoiding unnecessary duplication of personal information across general-access trackers.

Record which affected uses were checked and which remain unresolved. If integrations handle updates, test failed or partial runs as well as normal cases. Give someone ownership of reconciliation rather than assuming that a saved CRM field proves every destination changed.
